Incoming Tourism Specialist
Essential Job Duties and Responsibilities:
Request processing:

Manage requests for individual travelers, groups, and events

Determine customer’s needs and preferences, such as destination, mode of transportation, travel dates, financial considerations, and accommodations required

Write tailormade programs according to the client’s requirements

Prepare a detailed proposal according to requirements of client.

Engage in negotiations with the requester to align expectations and finalize the terms of request.
Planning and Coordination
-
Develop and implement comprehensive operational plans, considering the goals and objectives of each group or client.

Coordinate all logistical aspects of events, including venue selection, catering, audio-visual requirements, transportation, and accommodations.

Ensure that operations are executed within budgetary constraints and meet quality standards.
Client Relationship Management:
-
Build and maintain strong relationships with clients, understanding their unique needs and preferences.

Act as the main point of contact for clients, addressing inquiries, providing updates, and managing expectations throughout the planning process.
Team Collaboration:
-
Work closely with internal team to ensure seamless coordination and communication.

Collaborate with vendors and suppliers to negotiate contracts, secure services, and manage relationships.
Budget Oversight:
-
Develop and manage group/event budgets, tracking expenses and ensuring adherence to financial constraints.

Seek cost-effective solutions without compromising the quality and impact of groups/events.

Maintain statistical and financial records
On-Site Management:
-
Oversee the on-site execution of groups, events, managing staff, volunteers, and vendors.

Resolve any issues or challenges that may arise during operations, ensuring a positive experience for attendees.
Post-Operational evaluation:

Conduct post-operational evaluations to assess the success of each group/event and gather feedback for continuous improvement.

Prepare and present reports on key performance indicators and outcomes.
Qualifications and Skills:

Bachelor's degree in tourism, hospitality or a relevant field.

Excellent verbal and written communication skills in English, Russian and Azeri languages. Chinese language knowledge is preferable.

Excellent organizational and multitasking abilities.

Strong communication and interpersonal skills.
-
Budget management experience.
-
Attention to detail and problem-solving skills.
-
Ability to work independently and as part of a team.
